On review platforms, Zoho Mail also holds an average rating of 4.7 out of 5 stars. Pricing and Plans

Zoho Mail is available in three pricing plans: Mail Lite, Mail Premium and Workplace. At €0.90 per user per month, Mail Lite is the most affordable plan, offering 5GB of storage per user alongside email hosting for multiple domains, email forwarding, and mail and folder sharing. The plan includes Streams, an additional collaboration tool. Users can also access mail offline, recall sent emails, and use the built-in tasks, notes and bookmarks apps. Mail Lite further includes an eWidget and developer space, IMAP/POP access in mail clients, and the ability to send large attachments up to 250MB. A shared calendar, group calendar, appointment scheduling, calendar sync and the Zoho Mail mobile app for iOS and Android round out the plan. The Mail Premium edition, at €3.60 per user per month with 50GB of storage, extends Mail Lite with attachments up to 1GB, archiving and eDiscovery, email backup and recovery, white labelling and S/MIME. In the Workplace plan, Zoho Mail is available from €2.70 per user per month as part of the full communication suite. Zoho Workplace bundles secure business email with an online file manager, word processor, spreadsheet software, presentation software, instant messaging, an online meeting tool, and intranet and collaboration features.

Is Zoho Mail Free?

Cloud-based CRM systems offer various subscription models and sometimes free tiers, typically ranging from €10 to €150 per month depending on features and requirements. Whichever deployment model you choose, you'll also need to factor in costs for integrations, data migration, training and support — the latter alone can run from €500 to €5,000.

Setting Up Zoho Mail

Setting up Zoho Mail for you and your employees is quick and easy — in the best case, you won't even need help from external IT services. Below, we walk you through the setup step by step.

Step 1: Account Creation

Sign up for Zoho Mail at zoho.com/mail and go to the homepage. Next, choose your preferred plan and enter your company domain — you can also register a new domain if needed. Finally, create an admin account with an email address and password, then verify your phone number and email.

Step 2: Connect Your Domain

If you already own a domain, you'll need to connect it to Zoho Mail. Select your domain provider and copy the TXT or CNAME record provided. Add this record to your domain provider's DNS management, then click ""Verify"" in Zoho Mail and wait for verification to complete — this can take a few minutes.

Step 3: Set Up Email Addresses and Users

To set up your mail addresses and users, go to the User Management section in Zoho Mail. Here you can add new user accounts for your employees and assign them the appropriate roles, such as admin or user.

Step 4: Configure MX Records

To actually receive emails through Zoho Mail, you need to configure the MX records. This is done in your domain provider's DNS management. If necessary, delete any existing MX records and enter the following Zoho Mail MX records: mx.zoho.com (priority 10) and mx2.zoho.com (priority 20).

How Zoho Mail Login Works

You can log in to Zoho Mail either through the browser or directly via the app. We generally recommend routing every login through two-factor authentication (2FA), which requires a one-time password sent via SMS or email, plus the Zoho OneAuth app for authentication. In the browser, go to the Zoho Mail login page, enter your email address and password, click sign in, and enter the OTP code for 2FA. For login via the Zoho Mail app, download it from the app store and likewise enter your email address, password and 2FA code.

Zoho Mail Download and Desktop Integration

As mentioned earlier, you can use Zoho Mail in your browser. However, for even greater convenience, you can use a dedicated app on your laptop. The Zoho Mail Desktop Lite client is a free application that's easy to download and install. Once installed, it's saved as a desktop application on your system and can be launched directly from your desktop.

When looking for the right mail provider, it's worth taking a closer look at more than just one option — especially since there are so many alternatives on the market. Here's a short list of different mail options for you.

Mailchimp

Mailchimp is considered a leading email marketing and automation tool, winning users over not just with numerous design templates and its drag-and-drop editor, but also with automated workflows for welcome and follow-up emails. Segmentation and personalisation are also available for comprehensive audience management.

Mailbird

Mailbird is a well-established email client for Windows offering a central platform for managing emails, contacts and calendars. It supports other mail services such as G Suite, Outlook, Yahoo and iCloud, letting you combine multiple mail accounts in one interface. From design to layout, Mailbird focuses on strong usability and offers plenty of useful features, including quick replies and keyboard shortcuts for efficient working, a unified inbox for multiple email accounts, scheduled sending, multilingual support and offline functionality.

Proton Mail

Proton Mail stands out from the competition through its focus on security and privacy: built-in end-to-end encryption ensures a high level of security, and users can be confident that no advertising is served. Proton Mail is also open-source software and offers zero-access encryption. Its only notable downside is the limited storage in the free version.

Gmail

If you already work with Google services, Gmail as part of Google Workspace is the best choice. Alongside a generous 15GB of storage in the free version (which can be expanded), Gmail wins over millions of users with its powerful spam filter and AI-powered features. Data protection is a more critical point, however, since Google analyses all data itself by default.

Microsoft Outlook

The all-time favourite for business email, easy to use, remains and will remain Microsoft Outlook. The software integrates perfectly with Microsoft 365 and its accompanying online office apps, and offers a range of professional features for business users. Choosing Outlook also gives you access to Exchange support for businesses.

Zoho Mail Compared to Other Email Services

Another mail alternative is Tuta. This European provider is GDPR-compliant and hosted in an environmentally friendly way. We've put together a detailed comparison with Zoho Mail. On the security side, Zoho Mail offers encryption at rest and end-to-end encryption via S/MIME, and uses TLS for all communication between POP/IMAP/SMTP clients and its servers. Tuta uses end-to-end encryption for all data — from subject line and body to attachments and address book — and TLS for transport encryption. Unlike Zoho Mail, Tuta doesn't support IMAP/POP clients, but has instead developed an open-source email client as an alternative. Zoho Mail's free version already works perfectly for small teams. Other free options include GMX Mail and web.de, both offering unlimited email storage plus 2GB of free cloud storage. Thanks to being ""made in Germany"", GDPR compliance is automatically guaranteed — though both providers are not shy about sending plenty of promotional emails, which you can only escape with a paid plan. Another free alternative is Sendgrid, a cloud-based email service that lets businesses send marketing emails. Scalable email delivery, real-time analytics and reporting, spam filter optimisation, and API and SMTP integration are features that hold up well in daily business.

What Does Zoho One Cost?

Zoho's business software suite, Zoho One, is available in two pricing models: All Employee Pricing at €37 per employee per month, and Flexible User Pricing at €90 per employee per month. With All Employee Pricing, every employee at the company gets a licence, while Flexible User Pricing lets you purchase licences for selected users only.
